Ordering bicycle tires and inner tubes together can make a purchasing brief easier to organize, provided each item is specified separately. For importers, bicycle brands and parts distributors, the aim is to create an order that is understandable from the first quotation through to receiving the goods.

Create one row for each intended combination
Start with a spreadsheet that lists the bicycle application, complete tire marking, rim information, tube requirement and valve specification. Give each proposed combination a reference that your team and supplier can both use.
Keep quantities explicit. If you need 500 tires and 1,000 replacement tubes, record those as separate quantities instead of describing the order as 500 “sets.” State whether the products will be packed together or sold individually.

A tube with the right size description may still have the wrong valve for a particular rim. Record the requested AV, EV, IV or DV catalog code together with stem length and a drawing or approved sample reference.
For retail stock, consider how warehouse staff and customers will identify the valve before opening the package. Clear labels can make a range easier to handle, particularly when the cartons contain similar sizes with different valve options.
Make quotations comparable
Ask each quotation to identify the exact product reference, size, material or construction requirement, packaging, quantity and destination. Request separate confirmation of any required test reports or documentation. Record sample arrangements, the proposed delivery schedule and the agreed commercial terms.
A lower unit price is difficult to interpret if one quotation includes different packaging or a different product specification. Comparing the same written requirements gives your purchasing team a more useful basis for discussion.
Approve the product and its packaging together
Use labeled samples and a written review sheet. Check that the sample reference matches the quotation and that the planned packaging describes the product accurately. Include tire size and valve details where appropriate, and review any translated label text before approval.
Keep a record of agreed changes. If a valve, material requirement or label changes after sample approval, ask for an updated specification so the next order does not rely on an outdated reference.
Prepare the receiving and reorder record
Before the shipment arrives, decide how your team will identify cartons and compare delivered items with the agreed order. Keep the approved specification, sample reference and packing information together.
After receiving the order, document any questions by product reference and quantity. A clear record also helps with reordering: the next inquiry can identify what should repeat and what needs to change, rather than starting again from a broad product name.
